To enable Rex to process your material as quickly as possible, upload your pictures on to the website rapidly and achieve the best possible sales, we ask all our suppliers to adhere to the following guidelines when submitting material via whatever method.


IPTC Information

The following information should be put into the 'IPTC Stationery Pad' [Photo Mechanic] 'File Info' [Photoshop] or 'Text' [Foto Station]

We understand that you may have already adopted certain guidelines so we are asking for just THREE fields to be written this way - other fields can be completed or left blank as you wish.

IPTC Fields

1. Date Created: The date the photo was taken
2. Headline: The Event / Story title, with geographical location, set out like these examples :
'Hannah Montana: The Movie' film premiere, London, Britain
Kate Moss out and about in Los Angeles, America
Formula One Australian Grand Prix 2009, Melbourne, Australia
Prime Minister Gordon Brown leaving No 10 Downing Street, London, Britain
3. Caption/Description: A caption for that individual image within the set. It might be the name of the person depicted in the shot, a description of what is taking place in that individual image. Please do not add any other info; your name, date etc. to this field. If the set is Exclusive, has published already, or if you wish to notify us of anything else please use the Special Instructions field And please type all content in mixed case!

General Info

Snowing our editors under with huge quantities of material is counterproductive - it slows us down and means that your images will take longer to reach the market.
Real variety is good, but please avoid sending multiple "alternative" shots of the same subject which are only slightly different.   Choose the good shot and send us that one.

Do not add a 'white strip' graphical caption.

Please send the maximum file size available.

While sensible cropping (e.g., to bring a key subject into prominence, or to remove intruding details at the edges of an image) is acceptable, please do not crop images to thin 'letterbox' or 'bookmark' shapes. If for any reason you do crop your pictures in this way please make a duplicate and send the full file to Rex. Please keep them in the original aspect ratio.

Please rotate images to the correct orientation for viewing.

If your images are not looking as good as they could, and if you are confident that you know what you are doing with the software, please make modest adjustments in Photoshop before sending to us.

Although our staff try to cross-check spellings, any word incorrectly spelt could result in your pictures being impossible to find by keyword searching once on the website, so please double check spellings wherever possible.

To assist our sales team please always inform us if any of your pictures have been offered by you to any publications prior to submission.

Please do not send stock pictures in overnight or especially on Monday mornings.  Generally, unless only very small numbers or by prior arrangement with the picture desk, we prefer stock material to be sent in on a CD/DVD.

When shooting stock images involving people it is vital to obtain completed Model Release forms.  When submitting material for which there is a signed Model Release please add the words "Model Released" to the relevant pictures, and provide us with a copy of the release form.

If you wish to search our web site for your material, enter your own photographer code prefixed by * in the Search box (e.g. *ABC)

Recommended editing software

We recommend Photo Mechanic from Camera Bits for quick editing and precise captioning.

File size, format & filenames

Maximum file size from the camera, in JPG format, compressed at Photoshop Level 8 (low compression, high quality).

If scanning from your film archive, files should ideally be around 40 - 60 MB for 35mm and 60 - 80 MB for medium format.

Images should be in RGB mode - even if the picture is in B/W.

Please save files as JPG on the baseline standard setting (not progressive) at a high quality level (Photoshop Level 8). If supplying on CD, where space is not an issue, save at highest jpg setting (least compression). No TIFF, PSD or RAW/NEF/CR2 files, please.

Safe characters for filenames are: a-z 0-9 - (minus sign) _ (that's an underscore)

Punctuation characters like + / , \ | = * ! ? " ' ` are often reserved characters on various operating systems and should be avoided.
